Reception used to spend the first hour of every day moving people between rooms. Now the rooms are just part of the booking.
Fernbrook is the kind of clinic that grows faster than its systems. Nine practitioners across three disciplines, five treatment rooms including one with a plinth that only two people can use, and a front desk that had become the clinic’s scheduling engine.
The whiteboard
Cliniko handled practitioners’ calendars well enough. What it did not handle was rooms. Room allocation lived on a whiteboard behind reception, and the first hour of every day went to reconciling the two: moving a client because the plinth room was double-booked, or ringing someone because their practitioner had swapped rooms.
Rooms as resources
In Verdant, rooms are resources with their own calendar. A session type declares what it needs — “plinth room” — and the booking page only shows slots where the practitioner and a suitable room are free. The whiteboard came down in the second week.
Migration
The Cliniko export was sent on a Monday. By Wednesday, clients, appointment history, notes and outstanding invoices were in place, mapped by the migration team with a written list of what had not come across (two custom fields nobody used). The clinic booked its first appointment in the new system on Thursday.
Billing
Fernbrook takes a mix of private-pay and insurer-reimbursed clients. Invoices go out on signature; the insurer receipts the clinic used to produce by hand are now generated from the session. The nightly Xero export replaced a monthly bookkeeping afternoon.
